How to Hire a ClickUp Expert: What to Look For and What to Ask

You typed "hire a ClickUp expert" because your workspace is either a mess or does not exist yet. That is a solvable problem.
I am Branden Bell, a ClickUp Verified Consultant and PMP. I build ClickUp workspaces for a living, which means I also know exactly how you should vet people like me. Here is the checklist.
What does a ClickUp expert actually do?
A ClickUp expert designs your workspace, builds your workflows, and trains your team so the tool actually gets used. ClickUp describes it the same way: Verified Consultants help teams with Workspace configuration, streamlining workflows, onboarding, and more.
In practice, the work breaks down into five areas:
Hierarchy design. Spaces, Folders, and Lists that mirror how your business actually delivers work.
Custom fields and statuses. So a task tells you everything without opening it.
Automations. Handoffs, assignments, and reminders that fire without a human remembering.
Dashboards. One screen that shows the owner what is on track and what is stuck.
Training and documentation. The part most people skip, and the reason most workspaces die.
If someone only offers one of these, you are hiring a template installer, not an expert.
What is a ClickUp Verified Consultant?
A ClickUp Verified Consultant is a consultant vetted by ClickUp itself. You apply through ClickUp's program, ClickUp reviews the application, and approved consultants get a verified badge and a listing in ClickUp's consultant directory.
Verified means ClickUp reviewed the consultant. It is the easiest first filter you have.
It is not a course certificate. Anyone can watch videos and pass a quiz. The Verified Consultant program is ClickUp putting its own name next to yours, and that is worth checking before you look at anything else.
How much does it cost to hire a ClickUp expert?
Most ClickUp consultants charge between $25 and $300 per hour, and fixed price builds typically run $1,500 to $6,000 and up. I published a full breakdown of what a ClickUp consultant costs per hour.
My own pricing is public:
ClickUp Consulting. $250 for the first hour, $75 per additional hour. Advice only, no build.
ClickUp Build in a Day. Starts at $1,500. One day, 8 hours of expert build time, and a finished workspace.
ClickUp Client Delivery OS. Starts at $6,000. My flagship: 30 days and up to 80 hours of build time to rebuild client delivery end to end.
Published pricing matters more than the number itself. If a consultant will not tell you what anything costs until after a discovery call, that tells you how the rest of the engagement will feel.
What should you ask before you hire?
Ask these five questions and you will filter out most bad fits in one call:
Is the price fixed or hourly? Fixed price puts the risk on the consultant. Hourly with no cap puts it on you.
What exactly is in scope? Get numbers: how many custom fields, how many automations, how many dashboards, how much training.
How long until my team is working in it? Weeks is normal. Months is a warning sign for a small team.
Who does the actual work? Some agencies sell you a senior name and hand the build to a junior.
What happens at handover? You want a walkthrough, documentation, and a workspace your team can run on their own.
What are the red flags?
No published pricing anywhere. You will learn the price after they learn your budget.
No real client stories. Case studies with named clients beat vague claims about hundreds of teams.
Endless discovery. Weeks of workshops before anything gets built usually means the meter is running.
Tool talk instead of business talk. A good consultant asks how a client moves from paid to kickoff, not which template you want.
Should you hire an expert or build it yourself?
DIY is a real option when your team is small, your workflow is simple, and someone genuinely has the hours to learn ClickUp properly. Hire an expert when the tool is already costing you money: you are paying for ClickUp while your team quietly runs everything in spreadsheets.
I see the same pattern in almost every business I work with. The owner set up ClickUp with good intentions, the structure never matched how work actually flows, and the team went back to what they knew.
You are not buying software. You are buying the version of your business where nothing slips through the cracks.
